Scan-To-Email with Office 365 from a multifunction copier or printer

Connecting a copier to perform its scan-to-email function using Office 365 is not too difficult if you know the right settings.

Microsoft has an Exchange TechNet article on ‘How to Allow a Multi-function Device or Application to Send E-mail through Office 365 Using SMTP‘ which provides three options for creating the connection: SMTP Relay, Client SMTP Submission, and Direct Send.

Unless you already have an SMTP Relay setup in your environment and your device supports TLS, the Client SMTP Submission is the easiest route to take while still offering full features. I configured a Konica Minolta bizhub 36 to send to Office 365 and found that the following settings work reliably.

Listed below are the steps (also illustrated in the graphic at the end of the article) :

Logged in as an administrator, under the Network tab you will find E-mail Settings and E-mail TX (SMTP). The settings in here will need to be configured properly to point to Office 365.

Scan to E-mail: Enable

SMTP Server Address: smtp.office365.com

Port Number: 587

SSL/TLS: Start TLS

Device E-mail address: a fully authenticating Office 365 account

SMTP Authentication: Enable

Account: Same email address as Device E-mail address

Password: password for the specified Office 365 account

Your mileage may vary with different devices and models but those settings should work with TLS-capable scan-to-email devices.
